As of midnight tonight, October 6th, all counties in the ROI will be placed on Level 3 under the Plan for Living with COVID-19.
NMCI Services & SEFtec NMCI Offshore will remain open for educational training.
The courses we deliver are mandated for keyworkers within various maritime sectors.
These are our STCW courses, which are mandated by the International Maritime Organisation and accredited by the Marine Surveyors Office and our OPITO courses, mandated by the oil and gas operators for safe transit to and from offshore installations.
We will continue to offer these essential courses with our current COVID-19 safeguards in place in order to assist the supply chain to continue to function.
We will continue to advise our customers if there are any changes to certification because of enforced restrictions. We shall work with all our customers to ensure they are both certified and safe whilst at the NMCI.

Position: Full time Administrator
The administrator will report directly to the Manager of SEFtec NMCI Offshore.
Description of the Position
Reporting to the Manager of SEFtec NMCI Offshore, the Administrator is a member of the core NMCI Services Team providing administration, course coordination and business support for NMCI Services and its associated joint venture companies SNO Ltd & GTSS Ltd.
NB Note: For the initial six months, the Administrator will work under the direct supervision of the established Manager to acquire the requisite knowledge & experience to perform the role to perform efficiently.

Essential Duties and Responsibilities:
The administrator’s responsibilities include but are not limited to the following;
- Receive inbound calls and emails from current and new customers/companies.
- Responsible for the administration process from booking through to certification and registration into the OPITO Vantage system and CMS.
- Responsible for classroom/facility bookings for scheduled and bespoke course bookings.
- Represent NMCI Services as a member on the college’s Internal Audit team and shall be responsible for completing internal audits on main scheme and NMCIS commercial courses.
- Responsible for travel templates and organising client accommodation & transfers ahead of courses or board meetings.
- Preparing administration files for instructors before beginning course.
- Put together and deliver course packs where appropriate.
- Prepare scripts/handouts for courses.
- Ensure all relevant communications, records and data are updated and recorded;
- Maintain up-to-date knowledge of industry developments and updates;
- Create trust and confidence when building a rapport with customers to effectively close each booking and retain customer loyalty, this includes reception duties for course registration.
- Meet & greet delegates at reception before each course, morning and afternoon.
- Represent Commercial Division and NMCI by ensuring each customer receives a friendly and engaging and efficient experience;
- Compile reports as and when required by the Management Team;
- Work as part of a team supporting colleagues where necessary;
- Report any non-conformances to Management immediately in order to ensure that corrective action is carried out to prevent recurrence and insure continuous improvement.
- Adhere to strict data protection and confidentiality laws;
- Participate in any required training.
- Liaising with instructors and management to support the planning of all commercial courses
- Liaising with Lecturers, instructors to co-ordinate the efficient running of courses.
- Liaising with Finance regarding pricing of courses.
- Liaising with various individuals from companies on course details, numbers, requests etc.
- Liaising with catering staff & process canteen function forms.
- Be responsible for the replenishment of stationary at the NMCIS Ops office and postal duties.
- Fill out purchase requisitions where appropriate & required.
- Any other duties that may be assigned.
Requirements
Essential:
- 3 years relevant admin experience
- Good planning, organisational and communication skills.
- Excellent interpersonal, written, and oral communication skills;
- Excellent listening skills and the ability to ask probing questions, understand concerns, and overcome objections;
- Strong work ethic and self-starter, able to effectively manage multiple priorities and adapt to change within a fast-paced business environment;
- Must possess a professional and friendly attitude and be able to quickly develop a rapport with customers over the phone;
- Ability to learn and navigate new software quickly;
- Ability to type 30 wpm+;
Desirable but not essential:
- ISO 9001 Certification & Auditing Skills
Salary: €24,000.

We look forward to recommencing training on the 31st of August.
Currently there are still travel restrictions in place and we are continuously monitoring for changes.
Arriving in Ireland from another country.
As of July 23rd 2020 please be advised that students arriving to Ireland from a non-green list location, will not be permitted to attend training at the NMCI without demonstrating that they have restricted their movements for 14 days in Ireland prior to attending the course.
By law, if you arrive in Ireland from any other country you will need to fill in a form called the Covid-19 Passenger Locator Form.
You will also be asked to restrict your movements for 14 days.
How long the travel restrictions will be in place.

Maritime Short Courses – Training resumes from August 31st!
Following the COVID-19 closure of schools and colleges in Ireland, the NMCI’s Commercial Division will resume all maritime short courses from August 31st.
Updated Proficiency in Fire Prevention & Firefighting (Long) is the first course to resume our training schedule.
To ensure all COVID-19 safety protocols are adhered to we have reduced class sizes. Delegates will be issued with updated Joining Instructions in advance of their course date. As class capacity has been reduced we advise all customers to book early in order to avoid disappointment.

Maritime transport is essential to the world’s economy as 90% of the world’s trade is carried by sea. At a time like this we are all extremely grateful to those working at sea. These people ensure we receive the products and items we rely on for all our daily needs. Often we take for granted how these products get to us and the people who make it happen.
Many seafarers will be missing their loved ones at home, and are greatly missed by their families and friends, especially at this uncertain time. We would like to highlight who those people are and share some of their inspiring images! We’re very grateful for all that you do!
